Information for Tenants

Choosing a Property

We are flexible and will endevour to assist you to view the property(ies) of your choice at a time convenient for yourself.

Reserving a Property

Each adult prospective tenant will be asked to pay a holding deposit to reserve the property chosen. At that point we will stop any further viewings to that property, inform the landlord of the offer and if applicable any other agents involved.

If the offer is successful, the holding deposit will be deducted from the first months rent. If the offer is not accepted you will have the opportunity to re-negotiate (if applicable) or money will be returned.
You will also need to pay a non-refundable administration charge* per adult person.  Acceptable methods of payment are bank transfer (all charges to be settled by the sender), banker’s draft or building society cheque (within normal banking hours and allowing 5 working days for clearance) or cash.

We will ask you (and every adult in the proposed tenancy) to complete a sign up sheet. We will need to see each prospective tenant’s passport or some other form of photo ID.

All prospective tenants are thoroughly referenced and credit checked. In some cases, we also request a guarantor.

If a guarantor is required, they must be UK based, hold a UK bank account, be in full time employment, and must be prepared to sign a guarantor’s agreement.

Whiteford Properties will require a reference for all perspective Tenants. Referencing will require a landlord reference, bank status enquiry and employers reference. Please note all references will be contacted to verify the information provided.


On completion of referencing, a tenancy agreement will be drawn up for signing. This is a legally binding document, so please ensure that you understand your responsibilities and, if you are unsure, seek legal advice before signing them.

Damage Deposit

At the time of signing the tenancy agreement, you will be required to pay a damage deposit, which is normally equivalent to 6 weeks rent. A damage deposit is money paid as security against, for example, damage to property, removal of furniture, unpaid bills, etc.

The damage deposit (minus any deductions, if applicable) will be refunded to you at the end of the tenancy by the Landlord.

Rent Payments

Rent is payable monthly in advance by standing order directly to the landlord. You will be asked to set up a standing order mandate and if there is more than one tenant, payment must come out of one account only. Your holding fee will now form part of the first months rent, and you will only have to pay the difference.


An inventory check-in will be booked in either prior to your move in or on the first day of the start of the tenancy. It is advisable that all tenants on the tenancy agreement attend.

You will be required to pay the check in fee at the beginning of the tenancy. The landlord will pay for the inventory check out.
